PRIVACY NOTICE FOR JOB APPLICANTS
As part of the recruitment process, The Piano School collects and processes personal data relating to job applicants. The Piano School is committed to protecting and respecting your privacy and this policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. The rules on processing of personal data are set out in the General Data Protection Regulation (the “GDPR”).
- Who are we?

- Why do we process personal data?
The Piano School needs to process personal data for a variety of reasons:
- To ensure we are complying with our legal obligations, for example seeking information about criminal convictions and offences to confirm your suitability to work with children and young people;
- To confirm your suitability for employment and for the specific job you have applied for;
- To manage the recruitment process;
- To enter into a contract with you.
- What information do we collect?
The Piano School collects a range of information about you, including:
- your name, address and contact details, including email address and telephone number
- details of your qualifications, skills, experience and employment history
- information about your entitlement to work in the UK, including your NI number
We collect this information in a variety of ways including your CV, application form, ID documents, through interviews, and from third parties, such as references supplied by former employers or a DBS check.
- Who has access to the data?
Your personal data will be treated as strictly confidential; it will be processed by The Piano School in the UK and will be shared only where necessary. Some data may be shared with the following third party organisations:
- Former employers to obtain a reference
- The Disclosure and Barring Service to obtain necessary criminal records checks
- Accountant
- Bank
- How long do we keep your data?
If your application is unsuccessful, we will hold your data for one year after the end of the recruitment process. At the end of that period or once you withdraw your consent your data will be deleted or destroyed.
The Piano School may wish keep your personal data on file in case there are future employment opportunities for which you may be suited. We will ask for your consent before we keep data for this purpose and you are free to withdraw your consent at any time.
If your application for employment is successful, your personal data will be transferred to your personnel file and retained during your employment. You will be provided with a new privacy notice at this point.
- Providing us with your personal data
You are under no statutory or contractual requirement or obligation to provide us with your personal data. However, if you do not provide the information, The Piano School may not be able to process your application properly or at all.
- Your rights
Unless subject to an exemption under the GDPR, you have number of rights with respect to your personal data. You can:
- request a copy of the personal data which we hold about you;
- request that we correct any inaccurate or incomplete personal data;
- request your personal data is erased where it is no longer necessary to retain such data;
- withdraw your consent to the processing at any time or request a restriction is place on further processing;
- request that we provide you with your personal data and, where possible, transmit that data directly to another data controller, (known as the right to data portability);
- object to the processing of personal data where The Piano School is replying on its legitimate interests as the legal ground for processing.
- Further processing
If we wish to use your personal data for a new purpose, not covered by this Data Privacy Notice, then we will provide you with a new notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions.
